- Archiving tracked emails - CRM 3.0 and Outlook 2003/2007
- Posted by Michael Gschwind on March 12th, 2008
I've been searching for some confirmation on this subject with no
luck. I hope I can get some experienced help on this question.
What happens to tracked emails in the CRM database when we move the
original email off of the Exchange server and into an archive folder?
We're trying to develop an archive strategy for our users' mailboxes
and we've been led to believe that if we archive the emails out off of
the Exchange server, they will then be removed from the CRM database.
Does anyone have the answer to this?
Thanks in advance,

Hi Mike,
As far as I can tell, they are not removed from CRM. The whole idea is to
get them out of your personal inbox and make them available to everyone, so
it would be counter-productive if they were required in your inbox. I
personally move my tracked emails to an archive PST folder (low-budget
solution :-), so I usually have about 10 - 30 emails in my inbox. Everything
else is tracked in CRM and I haven't missed a single email so far. But it's
easy to test yourself. Just track a few test emails and delete them in
Outlook.

Hey Michael,
When tracking emails from Outlook, a copy of the email is created in CRM. So
you can move/delete the emails from your Outlook without any issues.
