Changing owner when scheduling a task
Posted by Adam on January 21st, 2004

In CRM 1.2, the search button for 'Owner' does not appear
to be active. To assign ownership of a task, it seems
necessary to create the activity, re-open the activity
and select Actions - Assign.

Does anyone know to assign a task to another user at the
time of creating the task?

Thanks in advance.

You can re-assign an activity by choosing the "Assign" menu option in the
action menu on most activity grids.

Mike,
I can assign a task if:
1) I open the activity and choose Actions-Assign
2) From within the activities list in CASES by
highlighting the activity and selecting Actions-Assign.

However, I can't
1) assign the activity from My Workplace without opening
the activity, and
2) Much more importantly, assign an activity when
scheduling it - there is a search button, but it looks
like Microsoft ran out of time to enable the
functionality.

Given 95% of our activities are scheduled by a Customer
Service Rep on behalf of another employee, this 'double
action' assignment would be frustrating.

Any thoughts?

Hi Adam, I'm looking in CRM 1.2 right now. In My Workplace, I can assign
active tasks to other users from my "In Progress" queue by choosing "Assign"
in the action menu. Are you trying to work from a different view in the
Workplace?

In cases, I think that the idea is that the Case is assigned to a user, so
if you re-assign the case, all activities should follow.

Hope that's some help,

Mike

Mike,
Thanks for taking the time to follow up.
I can re-assign from the "in Progress' queue, however, I
was actually looking at the 'Activities' view in
Workplace rather than the 'Workplace' view in Workplace,
if that makes sense.

However, my bigger issue is the apparent inability to
assign a task 'at the time of creation'. So lets say I
take a call from a customer who wants a technician to
call them back. I create a phone call task for the
technician, but by default, it is assigned to me. I have
to save the task and then re-assign it.

Given the presence of a grayed-out search button next to
Owner, it is obvious this functionality will exist in the
future. I was just hoping to find a way of activitating
it now.

Thanks.

Hi Adam, I get what view you're looking at.

If you're interested and you email me, I'll test changes to the activities
form to see if I can tweak it to allow you to assign an activity on
creation. If I can't do that, I can probably tweak the actions menu to add
the "Assign" option for you.

Email me if you're interested, and we can discuss options/costs.

Adam, maybe a simple solution is to create and save your new activities
without closing the form, and then just choose "Action -> Reassign" from the
activity's menu. It is an extra step over being able to just choose a
different owner on creation, but it's easier than closing and re-opening.

Mike,

Thanks for your help.
The assign option works okay - no CRM software is ever
perfect.

In relation to the other matter, I will get back to you
shortly with a list of other items we may require
assistance with - we are still experimenting with CRM to
determine its fit with our structure.
