Laptop Client not able to work with CRM 3.0 in Offline Mode
Posted by Bilestoad on October 5th, 2006

Hello,

One of our clients is using the Laptop install of CRM 3.0. She can connect
to the CRM server via Outlook just fine when she is connected to the company
network via a VPN. But when she tries to access the CRM data while in an
offline state, she gets the following error:

Authentication Error
Microsoft CRM could not log you on to the system. Make sure your user record
is enabled and that you have been assigned at least one security role. For
more information, contact your system administrator.

Has anyone come across this before and figured out a solution?

Thanks in advance!

Is this user trying to take CRM offline using the "Go Offline" feature, or is
she trying to get CRM to connect while outlook is in a disconnected mode?
The first will work only if the CRM client was installed using the Offline
enabled version of the CRM client, the second should work but depends on your
network configuration.

You can identify an offline enabled CRM client installation by the
appearence of a "Go Offline" button at the right end of the CRM toolbar. If
that button is there, you might try having her use that and see how it
works....otherwise you will need to configure everything to work over http.

Scott,

I believe she is trying to get the CRM to connect while Outlook is in a
disconnected mode. What is odd is that the client's CRM admin realized the
user was not part of their team and added her. Now she can access all the
features of the CRM while not connected to their network through the VPN,
with the exception of Contacts and Leads. When she clicks on either of those
two items, she gets the same authentication error. She's in the same roles
as all the other salesforce.

Thanks for your help!

Jim

A few questions:

What roles does she have assigned to her?

Have you made any changes to the default roles?

How many business units are there?

What are the settings on the business unit that she is a member of if it is
a different business unit?

Did you mention her team association because these particular records (i.e.
leads and contacts) were shared with a team that she was (or was not) a part
of?

Scott,

In Reply to your questions:

What roles does she have assigned to her?
- Salesperson and Sales Manager

Have you made any changes to the default roles?
- Yes, we've opened up the security so that Salespersons can view/edit any
records in their business unit. No rights have been restricted.

How many business units are there?
- 1

What are the settings on the business unit that she is a member of if it is
a different business unit?
- She is part of the only existing Business Unit

Did you mention her team association because these particular records (i.e.
leads and contacts) were shared with a team that she was (or was not) a part
of?
- No, I mentioned that because when her user account was created, the client
did not add her to the only existing Team in the system.

It turns out I was wrong in my earlier post. She can work with the CRM tool
as normal when connected through the VPN, but she gets that authentication
error whenever she disconnects and tries to work in offline mode, no matter
how many times she syncronizes. I'm convinced something got corrupted with
her user table in her laptop's local database.

I have run into this and been able to get it to work, but I have 1 last
round of questions. Is the outlook client configured to work over
http: without the need for the VPN connection? Does the CRM web-client
ask for authentication when opened without a VPN connection?

And just to clarify, accessing leads and contacts in not an issue when
connected via the VPN?

Thanks,
Scott
