Products and Invoicing - How to do it if you bill once a month?
Posted by Kristina Ledford on November 13th, 2003

I am just fishing for some ideas here -

We sell teleconferences and webconferences and bill once a month. We would
like to integrate this into CRM and the GP piece, but I am a bit confused on
how to go forward.

Is anyone else "selling" products this way? and if so, how did you set up
your catalog, etc...?

I am thinking of starting an order, then just leaving it open and adding the
conferences as "products" - then generate the invoice.

The problem with creating each conference as an "order" is that invoices
seem to only come from one order - not multiple orders....

Am I wrong here? Thoughts?
ps
We have bought and are going to use the GP - should we just post our
conference/products to those tables instead?

Kristina,

I would setup the integration so that you directly create the invoice in GP.
You really don't need an "Order" in this case and creating one would just
add to the complexity of the process. Then you should be able to use the
GP/CRM interface to load the invoice into CRM if you really want it there.

You could setup products if you want. Again, it may add complexity that you
don't need.

Would this GP part be able to create an invoice on demand? The idea is our
customers would like to see where they are, costwise, at anytime during the
month...

Wouldn't that be better served by providing them some sort of report from
your operational system?

Trying to create a object (either Order or Invoice), in either system, and
then add line items to it throughout the month is going to become fairly
complicated. Plus, you will probably run into problems with securing the
entry to make sure noone changes via the system throughout the month.

Your operational system already holds this information. If you want a
report on that during the month, this would seem to be the place to gen it.
Then, on a monthly basis, you can gen the invoice based on the prior month's
activity.
