Re-Opening e-mail Activites
Posted by Boolean1 on September 27th, 2006

When e-mail Activities are created, I occassionaly want to take action on
them, so I would like them to be Open Activities; but the default is that
they are created as Closed Activities.

What would be the easiest way to change the status back to Open?

I looked at the e-mail form, and I added the Status field to the e-mail
activity form, but then when I opened the form, the field is deactivated (it
cannot be changed manually).

Am I missing something?

Is there an easy way to do this?

Thanks,

Ah Weel,

That was about the easiest thing I ever did. Very cool. Just a simple
manual workflow rule to change Activity Status to Open. When in Outlook,
open the received e-mail, click Track in CRM button, click View in CRM, from
e-mail form/menu - click Actions/Apply Rule.
Select workflow process (e.g., Re-Open e-mail Activity), click OK, then Save
and Close.

I noticed a couple things: the e-mail is not actually Closed until you hit
Save and Close; for Open e-mails, you can create a follow-up Activity, which
is effectively what I'm doing except I'm using the original e-mail to do it.
If you create a follow-up Activity, it doesn't actually refer back to the
orginial e-mail.

I saw the message: This Activity is Closed. After the record is saved, you
cannot change business required fields. Do you want to continue? I must
have saved first in this case. But I again applied the rule, and it did
re-open.

Now I can get back to all those e-mails I was going to follow-up on!!!

Also,

Just noticed. Re-Opening the Activity Status of a Received e-mail will also
(automatically) change the Status Reason back to Draft, as opposed to
Received or Sent.

Implication is that you can't see the e-mail in the Received e-mails view
(unless I also make the workflow change the Status Reason to Received). I
don't know if it is allowed to have an e-mail Activity record be both
Received and Open at the same time...
